Privacy statement
Collection and Use of Personal Data from Clients, Suppliers, and Contractors
We will collect and use the personal data you provide to us. This is necessary to enter into and subsequently fulfill a contract with you. This applies both to our (potential) clients and to parties from whom we purchase goods and/or services.
If you are a (potential) client of ours, we will use your data to:
- send you a quote;
- determine the specifications or requirements that a particular product or service must meet;
- deliver products or perform work for you;
- issue invoices; and
- communicate with you regarding the execution of the agreement.
If you are a (potential) supplier or contractor, your personal data is necessary for the conclusion and performance of the agreement. In the context of procurement, this is necessary to:
- inform you of the specifications or requirements that a particular product or service must meet, as far as we are concerned;
- send you a request for a quote or place an order with you;
- pay your invoices; and
- communicate with you regarding other aspects of the agreement.
You are not required to provide us with your personal data. However, if you do not provide us with any personal data or provide insufficient personal data, we may not be able to carry out the activities mentioned above.
Retention Period for Personal Data
If you have requested a quote from us but have not become a client, we will delete your data no later than one year after our last contact. Similarly, if we have received a quote from you but have not become your client, your personal data will be deleted no later than one year after our last contact.
If you have become a client of ours—or we have become a client of yours—we will retain your personal data for a period of seven years following the end of the fiscal year in which the agreement with you was fully executed. This seven-year period corresponds to the period during which we are required to retain our records for the tax authorities. Upon expiration of this period, we will delete your personal data.
Disclosure to Third Parties
In the context of fulfilling an agreement with you, we may need to disclose your personal data to parties that supply goods to us or perform work on our behalf. We also use external server space to store (parts of) our records, which include your personal data. For this reason, your personal data is provided to our server space provider. Since we occasionally use a newsletter mailing service, your personal data is shared with the provider of this service.
Your rights
You have the right to ask us to allow you to access your personal data. If there is a valid reason, you may also request that we supplement your personal data or correct any inaccuracies. In addition, you have the right to request that your personal data be deleted or that the use of your personal data be restricted.
If you have any complaints regarding the processing of your personal data, we will be happy to assist you. If, despite our efforts, we are unable to resolve the issue, you also have the right under privacy legislation to file a complaint with the privacy regulator, the Dutch Data Protection Authority.
